Customers, vendors & projects
The big picture.
Edit Customers Status lists your customers next to their activity for any period you pick. You can change Taxable, active status, Terms, Customer Type and customer custom fields for many customers at once. Expand any customer to see the transactions behind the totals, so each decision is based on real activity. It can also merge duplicate customers and write off leftover balances.

What you can do
- See each customer's Taxable status, current balance, number of transactions, terms, customer type, project name and status, and total for a date range.
- Date ranges: presets (including fiscal-year presets if your company uses a fiscal year) or a custom range.
- You choose which account types count toward the total.
- Expand a customer to see every transaction and choose which transaction columns to show. You can group the lines by type, month, account, account type, class, location or transaction ID, and click any transaction to open it in QuickBooks.
- Group customers into sections by Taxable, has activity, has balance, terms, customer vs. project, customer type or any custom field.
- Filter by open or zero balance, activity in the period (or none), or a minimum total.
- Show projects, hide them, or show only projects.
- Filter further by transaction type, account, class or location, description text, or custom field conditions.
- Click a customer's Taxable chip to switch it. Setting a customer to not taxable asks for the exemption reason QuickBooks requires.
- Use "Edit Customer Status" on a selection to set Taxable, make customers active or inactive, and set or clear Terms, Customer Type or a custom field, all in one Apply.
- Edit Terms, Customer Type and custom fields (dropdown, text, number, date) right in the grid.
- Show your active customer custom fields as columns, and deleted ones as view-only history.
- Write off the open balances of selected customers with one balancing journal entry per customer, against an offset account you choose.
- Merge duplicate customers into one survivor that you pick.
- Nest sub-customers and projects under their parent, tag each name as Customer, Subcustomer or Project, and show deleted customers so you can restore them.
- Export a one-row-per-customer summary, every transaction line, or the view exactly as shown, to CSV.
Why it makes a difference
- You decide based on real activity: the totals and the transactions behind them sit on the same screen as the setting you are changing.
- You can update tax status, terms, customer type and custom fields for many customers in one pass instead of opening each record.
- Customer custom fields can be shown as columns, grouped, filtered and batch-edited.
- Cleanup tools are built in: merge duplicates, restore deleted customers, and write off small leftover balances.
- Estimates, time charges and billable expense charges are hidden by default, so totals reflect posted activity.
Put it to work
- Sales-tax setup: filter to customers with activity this year, group by Taxable, and switch the exempt ones to not taxable with the right exemption reason.
- Terms cleanup: group by Terms to find customers with none, select them, and set Net 30 in one Apply.
- Duplicate cleanup: find "ABC Co" and "ABC Company", check both histories, and merge them into the one you keep.
- Segmenting: batch-set a "Sales Rep" custom field or a Customer Type for a whole group of customers.
WATCH THE WORKFLOW
Review customer activity and prepare a terms update
Safe by design
- Before anything is written, you confirm a plain-language summary of the change and how many customers it affects. This applies to a batch and to a single chip click. Customers already on the chosen terms, customer type, active status or custom-field value are skipped.
- For custom field changes, each customer is read fresh and then read back from QuickBooks. The read-back confirms the new value and that their other custom field values are unchanged.
- Write-offs re-read balances immediately before posting and refuse any customer whose balance changed. They create journal entries only and apply no payments. Each entry is read back, and any entry that saved but couldn't be confirmed is listed for you to check.
- Merges require you to choose the survivor and tick an "I understand this cannot be undone" box. The whole selection is checked first, and if any customer has sub-customers or projects, the merge stops before anything is merged.
Good to know
- Projects inherit Taxable and Terms from their parent customer, so those changes are written to the parent. Projects and sub-customers keep their own custom field values.
- Write-off journal entries are not applied to the open invoices automatically; apply them in QuickBooks. Balance write-offs work only in US-dollar companies.
- QuickBooks can't merge projects. If you select one, nothing is merged and you get a list of every transaction that would need to move instead, which you can download as CSV. Deleted custom fields are view-only.
- Edit Vendors Status is the same tool for vendors. Part of SuperTools (Beta).
